1. Verification of identity.
Verification of identity is a legal requirement in all states and territories for property transactions, in accordance with the Australian Registries of Electronic Conveyancing (ARNECC).
All clients are required to provide documentation that proves who they are. We verify a client’s identity against official records to reduce the risk of fraudulent parties impersonating genuine buyers or sellers.

2. Verbal confirmation.
Most communication during conveyancing occurs via email. Cybercriminals often intercept or mimic emails to make them appear genuine, leading to cases of fraud. It is estimated that 90% of all cyberattacks start with an email.
- We call clients to confirm the receipt of the client’s account details if sent via email.
- We request that clients call our office to verbally confirm our trust account details before transferring any money into our office trust account.
- Overseas clients can communicate securely via WhatsApp for verbal confirmation and updates on the receipt etc.

3. Email security.
All email communication with clients will come from our verified domain: @entryconveyancing.com.au and @entrygroup.com.au. We have strict internal security measures for our email systems to prevent unauthorised access.
Each of our emails includes a clear fraud precaution warning in the footer to remind clients to remain vigilant against phishing attacks and cyber fraud. The reminders highlight common red flags that clients should be on the lookout for, including unexpected requests for urgent payment, grammatical errors, or unfamiliar sender details.
We also remind clients never to open unverified links or attachments in emails. Files can carry malware or other security threats designed to steal personal data or compromise a device.

4. PEXA key app.
The PEXA Key app is a secure platform that links directly with the PEXA settlement system, where we conduct conveyancing. PEXA will encrypt confidential information provided by clients, such as bank and trust account details, minimising the risk of sensitive account information being intercepted by cybercriminals through email.
We use the PEXA Key app so clients have a secure way of sharing banking information with us. PEXA is used by over 10,000 legal and conveyancing firms and processes over 85% of property sales and settlements in Australia.
